Appointment Setting Virtual Assistants
A sales team with an empty calendar is an expensive sales team. iFOVS places trained Philippines-based appointment setters who work your list, follow your qualification criteria and book meetings that hold.
What your iFOVS appointment setter does
- Works outbound lists by phone, email and LinkedIn
- Qualifies against your criteria before booking, so your calendar fills with the right meetings
- Books directly into your calendar with the buffer and travel rules you set
- Confirms and reminds ahead of the meeting to cut no-shows
- Rebooks cancellations rather than letting them drop off the list
- Nurtures the not-yet prospects on a defined cadence
- Logs every touch in your CRM the same day
- Reports dials, conversations, meetings booked, meetings held and no-show rate weekly
- Cleans the list as they work: bad numbers, wrong contacts, closed businesses
- Passes context to the closer so nobody starts a meeting cold
Systems they work in
HubSpot · Salesforce · GoHighLevel · Pipedrive · Close · Apollo · Outreach · Calendly · Zoom · RingCentral · LinkedIn Sales Navigator
Who this works for
- B2B services firms whose closers are prospecting instead of closing
- Agencies with a pipeline that stops the moment delivery gets busy
- Home services and trades filling estimator and survey calendars
- Insurance and financial services booking review and consultation appointments
- Real estate teams needing an inside sales function without a local salary
The metric that actually matters
Meetings booked is a vanity number. Meetings held is the one that predicts revenue, and it is driven almost entirely by qualification discipline and confirmation cadence — not dial volume. We report both, and we would rather show you a lower booked number with a high hold rate than the reverse.
What it costs
Appointment setters are hired on a straight hourly rate, part-time or full-time. Recruitment, onboarding, equipment, quality assurance and cover for absences are included.
How to choose an appointment setter
Appointment setters are usually measured on the wrong number. Booked appointments are easy to inflate; appointments that show up and qualify are not.
Ask for the show rate, not the booking count
Anyone can book meetings that never happen. Ask what proportion of their appointments actually took place, and what they changed to improve it.
Check CRM discipline in the interview
If every call does not get logged, you have no pipeline — you have their memory. Ask what they record after a call that did not convert.
Look at what happens after the booking
Most no-shows are lost in the gap between booking and meeting. Ask about their confirmation sequence and how many touches it involves.
Test qualification, not enthusiasm
A setter who books everyone is worse than one who books fewer. Ask what disqualifies a prospect in their view.
The one question to ask in the interview
What’s your no-show rate, and what did you change to improve it?
What a good answer sounds like: A specific number and a specific change. “I don’t really track that” tells you everything.
Frequently asked questions
Do you work on commission or per appointment?
We charge for hours worked, not per appointment. Per-appointment pricing sounds attractive and quietly incentivises booking anyone with a pulse — which is how calendars fill with meetings that never hold.
Will they use our script?
Yes, and your qualification criteria and your objection handling. We onboard on your material during the first week.
What hours will they work?
Whichever timezone your prospects are in. US, UK and Australian shifts are all available.
How many meetings should I expect?
It depends entirely on your list, offer and market. The same setter working the same hours will book several times more meetings against a warm, well-targeted list with a clear offer than against a cold generic one, which is why a number promised before we have seen either is worth nothing. We agree a target with you after four weeks of live data, and we report booked, held and no-show meetings separately from week one — booked meetings that never happen are the easiest figure in this industry to flatter.
What if the person is not a fit?
Replaced at no cost if the fit is wrong early on.
