Business support

Virtual Assistant Services: 6 Proven Role Groups

iFOVS serves international and local businesses, focused on delivering quality results and maintaining a very high standard of work ethics. We prioritise channels where our core values are upheld.

What you are actually buying

A freelancer is one person. This is an operation.

Anyone can sell you hours. The difference shows up in month three — when the person is on leave, when the work needs checking, when your business changes and the process has to change with it. Here is what sits behind the hours.

  • 1 A trained team, not a job advert. Every person is recruited, tested and trained by us before they touch a client account. You are not running a hiring process, and you are not the one discovering whether someone can do the job.
  • 2 Someone checks the work before you do. Quality assurance is a separate function with written benchmarks, not a promise that our staff are careful. If you are proofreading everything that comes back, you have not delegated the task — you have added a step to it.
  • 3 Cover is built in, not improvised. More than one person knows your account. Leave, illness and turnover do not stop your work or reset the context you spent weeks building.
  • 4 We work your day, not ours. Our shift runs 11pm to 8am GMT+8 — the working day across the USA, Canada, the UK, Australia and New Zealand. Work moves while you sleep and is waiting when you start.
  • 5 Confidentiality is contractual, not conversational. Practices aligned to GDPR, ISO/IEC 27001 and PCI DSS. Access is granted per person, never shared, and revoked when someone leaves your account.
  • 6 You get the work without the overhead. No recruitment, payroll, equipment, office space, HR or statutory obligations. You scale the support up or down as the business actually moves.

What we run

Six specialist tracks

Each track is a trained skill set, not a job title. Most clients start with one and add another once the first is running without them.

How we work

Four things that separate a team from a temp

None of these are extras. They are the difference between support that saves you time and support that quietly costs you more of it.

A support assistant focused on their work at a desk

Dedicated, not shared

Your assistant works your account — not a queue shared between five clients. They learn your systems, your tone and your customers, and that knowledge compounds every month instead of resetting.

A supervisor reviewing work against a checklist

Checked before it reaches you

Work is reviewed against written benchmarks by someone other than the person who produced it. Training happens before the work; review happens to the work. You want both, and they are not the same thing.

One colleague handing work over to another

Cover, so nothing stops

A second person is briefed on your account while the first is still on it. Holidays, sick days and handovers are planned in advance rather than announced to you after the fact.

Your hours, your tools

We work into your business day and inside your systems — your CRM, your inbox, your helpdesk, your spreadsheets. Nothing has to move to a platform that suits us.

Getting started

Four steps, and you keep control the whole way

Nobody should hand over their inbox on a promise. Every task is written down and agreed before anyone starts, and you see the standard before you rely on it.

  • 01 Discovery call We map where your week actually goes and which tasks are worth handing over first — starting with the ones that are easiest to explain and easiest to check. From you: half an hour and an honest list.
  • 02 Scope & task brief We write down each task: what triggers it, what finished looks like, the steps, what to do when something is unclear, and what must never happen without you. From you: approval of the brief before anyone starts.
  • 03 Onboarding & pilot Access is granted individually — never a shared password — your assistant is trained on the brief, and we start with a small set of tasks so both sides calibrate on something low-risk. From you: questions in week one. Lots of them.
  • 04 Run & review Handover notes at the end of each shift, regular reporting, and a scheduled review where scope goes up, down or sideways as the business changes.

Ways to work with us

Three ways to engage

Choose by how much of the function you want to keep managing — not by headcount. Each one builds on the last, and we will say plainly if the smaller option would serve you better.

Get your week back

Dedicated Assistant

For an owner or a small team whose admin has outgrown the evenings.

What you get

  • One trained assistant working your account
  • Your hours, inside your existing systems
  • A written task brief agreed before anyone starts
  • Handover notes at the end of each shift
  • Work reviewed by a named QA checker
  • Regular reporting on what was done
  • A backup briefed on your account for cover
  • A scheduled review to adjust scope

Hand over the whole function

Managed Account

For a business that wants the outcome delivered rather than the people managed.

Everything in Dedicated Team, plus:

  • We run an entire function end to end — the support inbox, the travel desk, the listings pipeline
  • Agreed service levels: response times, resolution and accuracy targets
  • Reporting against those service levels, not just activity
  • A named account manager and a defined escalation path
  • A documented continuity plan for your account
  • Quarterly business review with your team
  • Onboarding support when your own processes change
Discuss a managed account

Every engagement is quoted on the work rather than a rate card, because the honest figure depends on how specialised the tasks are, how many hours you need and whether they are predictable. Tell us what the work involves and we will come back with a written scope, what is included and what it costs.

Before you ask

The questions worth asking any support provider

Including the awkward ones. If a provider will not answer these plainly, that tells you something.

Do I get the same person every day?

Yes. Your assistant works your account rather than a shared queue, and continuity is the point — someone who knows your customers by the third month is worth several times someone starting fresh each week.

What you also get is a second person briefed on the account, so continuity survives a holiday.

What happens if my assistant is off sick or leaves?

Your backup is already briefed. They do not start learning your account on the morning it becomes their problem.

This is also why we insist on a written task brief at the start. Process that lives only in one person's head is a risk you are carrying without knowing it — and when that person leaves, so does your context.

What hours do you actually work?

Our shift runs 11pm to 8am Philippine time (GMT+8), which is the business day across the USA, Canada, the UK, Australia and New Zealand. Ask any provider this in your own time zone, not theirs.

If your business needs a different window, say so on the call and we will tell you honestly whether we can staff it.

How do I hand over a task without spending a week explaining it?

You do not have to write the brief — we do, from the discovery call, and you approve it. One page per task: what triggers it, what finished looks like, the steps, what to do when it is unclear, and the hard limits.

Expect a lot of questions in week one. That is the brief being stress-tested, and it is a much better sign than an assistant who asks none and quietly guesses.

What happens to my data, my passwords and my customer records?

Access is granted per person through your own systems — never a shared login — with the minimum permissions the task actually needs. Two-factor authentication on both sides. Access is revoked when someone leaves your account, and we confirm when that has happened.

Our practices are aligned to GDPR, ISO/IEC 27001 and PCI DSS, and confidentiality is contractual.

Can I start small and add more later?

That is what we recommend, and not out of caution. The first task teaches both sides how to work together, and you want that lesson to happen on something low-risk rather than on your billing.

Most clients start with one assistant on a handful of tasks and widen the scope once it is running without them.

How is this different from hiring someone locally?

You are buying the work rather than the employment. No recruitment, payroll, equipment, office space, HR or statutory obligations — and no three-month wait to find out whether the hire was right.

You also get things a single hire cannot give you: quality review by a second person, cover when yours is away, and the ability to change the scope in a fortnight rather than through a redundancy process.

What if it is not working?

Tell us early, and be specific about what is wrong — the output, the pace, or the fit. Most problems in the first month are briefing problems and we will fix the brief. If it is genuinely the fit, we replace the person.

The written brief means a replacement inherits the process instead of starting from nothing, which is precisely why we write it at the beginning rather than after something goes wrong.

The full detail of how we handle client data is on our privacy and confidentiality page.

Our virtual assistant services cover six role groups, from real estate cold calling to bookkeeping, customer support and medical admin. Every engagement works the same way: named, office-based people on your account — not a rotating pool — working your hours, inside your own systems.

What every virtual assistant services engagement includes

Whichever role you start with, the same things are included: recruitment and vetting, onboarding, equipment and redundant internet, a named team lead, quality assurance, and cover when someone is ill or on leave. You are hiring a service with a backup plan, not one freelancer with a laptop.

Access is scoped to a named person and revoked when they leave your account. Our handling of client and customer data is aligned to GDPR data protection principles, and confidentiality is contractual rather than a verbal promise.

How it works

  • Tell us the role. A short brief: the tasks, the hours, the systems, and what good looks like in the first month.
  • We assign from our existing team. Our people are already hired, trained and on our payroll. There is no recruitment round to wait on and no shortlist to review.
  • No interviews to sit through. You brief the work, not a candidate. We put the right person on it and we are accountable for the result.
  • Onboarding and access. Named logins you create, an NDA signed before any system access, and an agreed first-week task list.

Not sure which role you need?

Most clients begin with one person on the single task costing them the most time, then widen the scope once it runs without them. Tell us the bottleneck and we will tell you honestly whether virtual assistant services solve it, or whether you need something else entirely.

What we do not do: we are not a licensed accountancy, law or medical practice. Our people work the administrative side of those functions — preparing, chasing, logging and coordinating — under your professional’s supervision. If a task needs a licence or a professional sign-off in your jurisdiction, that stays with you, and we will say so plainly rather than quietly taking it on.

Every virtual assistant services role we place

Each of our virtual assistant services roles below has its own page: what the person does day to day, the tools they work in, how hiring works and what it costs. If the role you need is not listed, tell us anyway — most support work is more transferable than it looks.
