Remote Executive Assistants from the Philippines
The point of an executive assistant is not to save money. It is to get back the hours you currently spend on work that does not need you. iFOVS places dedicated Philippines-based executive assistants with founders and executives across the United States, United Kingdom, Canada and Australia.
What your iFOVS executive assistant does
- Triages your inbox to the rules you set and drafts replies in your voice
- Owns your calendar: scheduling, rescheduling, buffers, and protecting your focus blocks
- Books and manages travel end to end, including the changes
- Prepares documents, decks, agendas and pre-reads before meetings
- Takes minutes and, more importantly, chases the actions afterwards
- Runs the research you keep meaning to do
- Handles suppliers, subscriptions, renewals and the low-grade admin that accumulates
- Tracks your commitments and tells you what is slipping before it becomes a problem
- Manages personal admin where you want that included
- Acts as a professional gatekeeper — courteously, and without making you look unreachable
Systems they work in
Google Workspace · Microsoft 365 · Notion · Asana · ClickUp · Monday.com · Slack · Zoom · Calendly · Expensify · HubSpot
Who this works for
- Founders who are the bottleneck on everything and know it
- Executives carrying a calendar that fills faster than it can be managed
- Small partnerships sharing one assistant across two or three principals
- Consultants whose billable hours are being eaten by admin
The first month is different
An executive assistant relationship is the one role where the first month decides everything. It works when you narrate your reasoning for a few weeks — why that meeting matters, why that email can wait, who gets straight through. It fails when someone hires an EA and expects telepathy.
We build that handover into onboarding deliberately, and your account manager checks in through it. Say so early if it is not working; the fix is almost always context, not the person.
What it costs
Executive assistants are hired on a straight hourly rate — our highest-rate support role, because it demands the strongest written English and the best judgement. Part-time or full-time.
How to choose an executive assistant
This is the role where the wrong hire costs the most, because the assistant is making decisions on your behalf whether you intended that or not.
Written English is the job, so test it under time pressure
Ask them to draft a decline to a meeting request in five minutes, unprepared. Polished writing with time is common; clear writing under pressure is not.
Test filtering, not organising
The value is in what never reaches you. Ask what they decided their previous executive did not need to see, and why.
Find out whether they will say no on your behalf
An assistant who defends your calendar is worth several who merely maintain it. This requires a confidence that shows in the interview or does not exist.
Watch how they talk about previous employers
Discretion is not a policy, it is a temperament. Someone who shares detail about a former executive with you will share detail about you with the next person.
The one question to ask in the interview
Tell me about a time you decided not to forward something to your executive.
What a good answer sounds like: Hesitation here usually means they forward everything, which makes them an inbox, not an assistant.
Frequently asked questions
Will they write emails as me?
Yes, once they know your voice — usually two to four weeks. Most clients start with the assistant drafting and the executive approving, then move to direct sending on defined categories.
Can they handle personal as well as business admin?
Yes, if you want that. Many clients include personal travel, appointments and household admin. You set the boundary.
What hours will they work?
Yours. US, UK and Australian shifts are all available, and this is one role where matching your working day matters more than any other.
How do I share passwords safely?
Through a password manager with individual named access, never by email or chat. Access is removed the day someone leaves the role. See our data privacy standards.
What if the person is not a fit?
Replaced at no cost if the fit is wrong early on. Fit matters more in this role than any other, and we would rather change early than have you work around someone.
