CRM Administrators (HubSpot, Salesforce)

A CRM is only worth what its data is worth. Most are worth very little within eighteen months, because nobody owns them.

What your CRM assistant does

  • Keeps records accurate: deduplication, standardised fields, enrichment, decay cleanup
  • Logs activity so the pipeline reflects what is actually happening
  • Builds and maintains workflows, sequences and automation
  • Creates dashboards and sends the weekly report without being asked
  • Manages lists, segments and lifecycle stages
  • Imports and maps data from other systems
  • Documents the process so it survives the next person
  • Trains your team on the parts they keep getting wrong

Why this role pays for itself

Sales teams do not neglect the CRM because they are lazy. They neglect it because logging an activity costs two minutes and produces nothing for them personally.

The consequence is a forecast nobody trusts, follow-ups that never happen, and duplicate records that split one customer’s history in three. By the time it is bad enough to notice, cleaning it is a project.

An owner makes it a maintained system rather than a periodic cleanup.

How to choose a CRM assistant

Ask what they have built, not what they have used

Using HubSpot and configuring a lifecycle model are different jobs at different rates. Ask them to describe an automation they designed from nothing and why it was structured that way.

Test debugging over construction

Automations break invisibly until someone complains. Ask how they trace a workflow that fired twice, or not at all.

Check reporting literacy

Building a dashboard is easy. Knowing which four numbers belong on it is the skill. Ask what they would put on a weekly sales report and why.

Ask how they handle bad data

The answer should involve rules and prevention, not a one-off cleanup.

What it costs

CRM administrators are hired on a straight hourly rate, part-time or full-time. Many clients start with a defined cleanup project and convert to ongoing maintenance. See the cost guide.

Frequently asked questions

Can they get admin access safely?

Yes, with a named account at the permission level you choose and an NDA signed before access.

Do they need certification?

HubSpot certifications are free and widely held, which makes them weak signal. Ask what they have built instead.

Can they migrate us to a new CRM?

Data mapping, import, validation and cleanup, yes. Platform selection is your decision.

Will they train our team?

Yes — documented processes and walkthroughs. This is usually where the value compounds.

Can they do email marketing too?

Sequences and campaign builds inside the CRM, yes. For content-heavy programmes see social media assistant.
