Quality assurance

Outsourcing Quality Assurance: 4 Proven Checks

Our QA team is an essential part of our business support services — and the reason clients can rely on consistent, accurate work at any volume.

Benchmarks & monitoring

The team establishes quality benchmarks, monitors performance against them, and implements corrective action when it is needed.

Control techniques

We use a variety of quality control techniques, including automated testing, manual testing and code reviews, depending on the account.

Compliance paperwork being checked

Regulatory compliance

QA ensures our services comply with relevant regulations and standards such as GDPR, ISO/IEC 27001 and PCI DSS.

The three pillars above are the framework. In practice, outsourcing quality assurance at iFOVS starts with where and how our team works: every virtual assistant and support specialist works from our office under an independent contractor agreement — never remotely — which is what makes day-to-day oversight possible in the first place.

How outsourcing quality assurance actually works

  • Every account has a manager, not just a worker. Someone other than the person doing the work is checking it against what you actually asked for.
  • Attendance and output are reviewed on-site, not self-reported from a home setup we can’t see.
  • New team members complete structured training before they’re placed on a client account, so the standard doesn’t depend on which individual you were assigned.
  • Coverage exists because people work in a team, not alone — an absence doesn’t have to mean your account goes unattended.

What that experience actually looks like

One of our senior team members brought over a decade of experience running other people’s operations before joining iFOVS’s leadership. Their background spans real estate end to end — starting as a cold caller, then moving up through acquisitions, dispositions, and transaction coordination, including training other callers in the role; e-commerce operations, from Shopify store management to listings, fulfillment, and paid promotion; multi-state US campaign management for housing and home-care programs, coordinating outreach across phone, SMS, email, and social channels while working inside each program’s compliance and eligibility rules; customer service and retention for a major online travel agency and a satellite radio provider; B2B lead generation and appointment setting for outbound sales campaigns; and project management for a US-based technical services company, coordinating field teams and client reporting nationwide.

That range of industries and account sizes is the kind of background behind the people who end up managing client accounts here — not a one-off hire, but the standard we look for.

Outsourcing quality assurance: experience across real estate, customer service and QA teams

What clients can expect

  • A named account manager to escalate to directly — not only the person handling day-to-day tasks.
  • Check-ins scaled to the size of your engagement, so oversight doesn’t disappear once onboarding is done.
  • A structured onboarding process, so quality assurance starts before your account ever goes live.

What we measure, and what we do not

Outsourcing quality assurance goes wrong when it becomes a dashboard nobody reads. We keep it to the things that change behaviour: whether the work shipped on time, whether it needed rework, whether you had to chase, and whether the person is still learning the account. Vanity metrics — keystrokes, screenshots on a timer — tell you somebody was at a desk, not that the work was any good.

On data: access is scoped to a named person and revoked when they leave your account, and our handling of client and customer data is aligned to GDPR data protection principles. Confidentiality is contractual rather than a verbal promise — that is part of quality assurance too, not a separate policy document nobody opens.

What happens when quality slips

Nothing here assumes it never will. When work drops below standard, the account manager raises it with the person that week, not at a quarterly review. If it does not correct, we replace them and cover the desk during the handover. You should not pay twice while we fix a staffing problem that is ours.
