How to choose a property management assistant
Property management support fails on judgement, not on effort. The work is mostly triage, and triage done badly costs you tenants and owners.
Test their triage instinct
The core skill is sorting a leaking tap from a burst pipe and knowing which one interrupts your evening. Give them five real messages from your inbox and ask them to rank the order they would handle them.
Match the software before the personality
AppFolio, Buildium, Propertyware and Rent Manager are not interchangeable. Someone fluent in one will take weeks to be useful in another, and they rarely volunteer that.
Read their written tone under pressure
Most tenant communication is written, and much of it happens when someone is already annoyed. Ask them to draft a reply to a genuinely angry message and read it as though you were the tenant.
Establish where they stop
They should understand what trust accounting is and why they never touch it. An assistant who does not know where the boundary sits will eventually cross it.
The one question to ask in the interview
A tenant messages at 11pm saying water is coming through the ceiling. Walk me through your next ten minutes.
What a good answer sounds like: The right answer contains an action before it contains a question — contact the emergency contractor, then inform. Someone who waits until morning for instructions is not doing this job.

Can they talk to tenants directly?
Yes, in writing and by phone, using your templates and your tone. Anything requiring a licensed decision or a judgement call comes to you with the file prepared.
Do they work Australian hours?
Yes. AEST, AEDT, UK and North American shifts are all available. You choose when you brief the role.
Will they know our software?
Tell us what you run. Most of our assistants have worked in at least one major property management platform, and platform-to-platform transfer during onboarding is quick. We will tell you honestly if we would be learning on your time.
How do you handle trust account work?
We do not operate, sign on, or move money in and out of your trust or escrow accounts. Trust accounting is regulated differently in every jurisdiction, is usually restricted to licensed personnel, and is not work we take on. What your assistant does do is the administration around it: reconciling statements against your ledger, chasing missing documentation, preparing arrears and payment reports, flagging discrepancies to you, and keeping records audit-ready. The instruction and the authority stay with you and your licensed staff. If a provider offers to take the trust account itself off your hands, check very carefully whether they are permitted to.
