How to choose a Xero bookkeeper

Certification is the entry ticket, not the qualification. What distinguishes a good offshore bookkeeper is what they do when the file does not behave.

Ask what they do with an unreconciled feed

Coding the awkward transaction to suspense and moving on is how a file quietly rots for eleven months. You want someone who chases it while it is still traceable.

Check the jurisdiction, not just the software

BAS and GST, UK VAT and US sales tax are different disciplines. Xero fluency does not transfer across them, and the gap only shows up at quarter end.

Find out whether they ask or guess

The single most expensive habit in bookkeeping is confident guessing. Ask for an example of something they escalated rather than resolved, and listen for whether escalating feels normal to them.

Ask what they hand your accountant

Month-end is not “reconciled.” It is accruals, prepayments, balance sheet reconciliations and working papers your accountant will accept without redoing them.

Are they Xero certified?

Ask for the certificate and check it — Xero Advisor Certification is verifiable, and you should verify it rather than take any provider’s word for it. Xero competence is part of our bookkeeper onboarding and certification status varies by individual, so we will tell you the current status of the specific person proposed for your account, in writing, before you hire them. What we will not do is imply that everyone holds a certificate because some do. If certification is a requirement rather than a preference, say so at briefing and we will only propose people who hold it.

Will they work Australian hours?

Yes. AEST and AEDT shifts are standard for this role, and UK hours are available.

How do we give them access safely?

Xero supports named users with defined permission levels — we ask for an individual named account rather than a shared login, so every action is attributable to a person. Access is removed the day someone leaves the role. See our data privacy standards.

Can they work with our existing accountant?

Yes, and it usually works better that way. Your accountant sets the standard, your iFOVS bookkeeper maintains the file to it, and year-end stops being an archaeology project.

What if the person is not a fit?
