Travel Booking Virtual Assistants

Travel is a business of small urgent tasks at inconvenient hours. Travel is one of the account types iFOVS has run longest, and we place trained Philippines-based travel assistants into agencies, tour operators and executive offices.

What your iFOVS travel assistant does

  • Researches flight, hotel and ground options against a brief and a budget
  • Books, confirms and documents every element of an itinerary
  • Handles changes, cancellations and rebookings, including the disruptions that land overnight
  • Liaises with suppliers, hotels and DMCs
  • Builds client-ready itinerary documents in your format and branding
  • Tracks visas, passport expiries, vaccination requirements and entry rules
  • Reconciles supplier invoices against bookings and flags discrepancies
  • Manages loyalty programmes, points and upgrade requests
  • Maintains traveller profiles: seat preferences, dietary needs, frequent flyer numbers
  • Monitors schedule changes and warns the traveller before the airline does

Systems they work in

Amadeus · Sabre · Travelport · Expedia TAAP · Booking.com for Business · TravelPerk · Tramada · ClientBase · Google Workspace

Who this works for

  • Travel agencies and tour operators whose consultants are buried in admin instead of selling
  • Corporate travel managers handling volume across multiple time zones
  • Executive offices where an EA is spending a third of their week on travel
  • Destination management companies coordinating suppliers across markets

Why the overnight coverage matters

Travel disruption does not respect office hours. A cancelled connection at 2am your time is a crisis by breakfast if nobody was awake for it. Our teams work whichever shift you need, which for travel businesses is often the one nobody local wants to staff — and that is precisely where the value is.

What it costs

Travel assistants are hired on a straight hourly rate, part-time or full-time. Recruitment, onboarding, equipment, quality assurance and cover for absences are included.

How to choose a travel assistant

Travel support is a business of small urgent tasks at inconvenient hours. Hire for composure under time pressure, then for systems knowledge.

Establish GDS or OTA — they are different jobs

Amadeus, Sabre and Galileo are a professional skill set. Booking through consumer platforms is not. Ask which they have actually worked in daily, and for how long.

Test fare rules, not booking speed

Anyone can find a flight. The value is in knowing what a change costs, what is refundable, and what the penalty is before the client asks.

Be honest about the hours

The emergencies happen while your client is travelling, which is often the middle of the night where your assistant sits. Ask them directly what they can sustain, and believe the answer.

Ask about the recovery, not the booking

The measure of a travel assistant is the rebooking at 2am, not the itinerary at noon. Ask for a specific example and listen for whether they acted before they escalated.

The one question to ask in the interview

A client’s connecting flight is cancelled at 2am your time. What do you do first?

What a good answer sounds like: Rebook, then inform. Anyone whose first move is to message you and wait will cost your client a night in an airport.

Frequently asked questions

Do they have GDS experience?

Ask us for the specific systems before you hire, and test them in the interview — GDS competence is checkable within five minutes, and no honest provider should mind you checking. Our assistants work across airline and hotel direct portals, online travel agency platforms, and the booking and itinerary tools most agencies and in-house travel desks use day to day. Where a role needs deep native work in Amadeus, Sabre or Galileo, tell us at briefing and we will confirm in writing whether we have someone who genuinely has it before you commit, rather than after.

Can they book directly, or only research?

Both. Many clients start with research and itinerary preparation, then extend to booking authority once trust is established. You set the limits.

Will they cover overnight?

Yes. Overnight and weekend coverage are available and are one of the main reasons travel businesses use us.

How do you handle payment details?

Card and payment details are handled through your systems under your controls, never stored or transmitted through personal accounts or messaging. See our data privacy standards.

What if the person is not a fit?

Replaced at no cost if the fit is wrong early on.
