What does a virtual assistant actually do all day?
A realistic week, rather than a list of everything a virtual assistant could theoretically do.

Timezone is the first thing people specify and the thing they most often get wrong — almost always by asking for more than the role needs.
Full overlap costs more, narrows the candidate pool, and asks someone to invert their life indefinitely. Sometimes that is exactly right. Frequently it is not.
| Arrangement | What it means | Genuinely needed for |
|---|---|---|
| Full overlap | Your assistant works your business day | Phone, live chat, anything reactive or constantly interrupted |
| Partial overlap | Two to four shared hours, rest asynchronous | Most administrative work, bookkeeping, e-commerce ops, content |
| Opposite shift | Work arrives finished when you wake up | Production work with a clear brief |
For each task in the role, ask one question: does someone have to respond to this while it is happening?
Yes — a customer waiting on chat, a phone ringing, a prospect who called back. These need overlap.
No — an invoice, a listing update, a reconciliation, a report, a document. These need a clear brief and a deadline. Overlap adds nothing.
Now count. If most of the role is in the second category, you do not need full coverage. You need a daily handover window and clear instructions.
From the UK: a Philippine working day ending around 5pm local lands at about 9 or 10am in London. You start your day with two to four shared hours and yesterday’s work already finished. For most UK support roles this is not a compromise — it is better than a same-hours arrangement, because a full day of work happens before you arrive.
From Australia and New Zealand: effectively the same working day. There is no overlap question here at all, which is why so much Australian outsourcing goes to the Philippines. See our Australia page.
From the US: this is where it gets real. Live coverage of a US working day means your assistant works through their night. Done widely, sustainable when it is chosen and properly paid — and a retention problem when a provider quietly puts a day-shift person on a night-shift account to win on price.
A common US compromise: your assistant starts at 6am Philippine time, which is 6pm US Eastern the previous day — giving an evening handover window without anyone working the small hours.
Money. Night shift attracts a premium, and it should.
Candidate quality. Insisting on hours that suit you narrows the pool, and the strongest people have the most choice about which shift they accept.
Retention. Someone working nights for a role that did not need it will eventually take a day-shift job. Then you are hiring again, and the replacement cost dwarfs whatever the overlap was worth.
Not an argument against it — just be sure:
If your role is on this list, staff it properly and pay the premium. Half-staffing a real-time role is worse than not staffing it.
Most people who run this honestly find they need two to four hours, not nine.
Sometimes, but treat it as a significant change rather than an adjustment. Someone who took a day-shift role may not want a night one, and asking can cost you the person.
It is a real thing to ask of someone and should be chosen and paid for, not assumed. The Philippines has a mature night-shift sector where people opt into it deliberately — the problem is not night work, it is unacknowledged night work.
Possible and usually a bad idea. Broken days are harder to sustain than a straight shift in either direction.
For genuinely all-day real-time roles, often yes, and we say so in our regional comparison. For most support work the Philippines is stronger on English, cost and sector depth.
A short written summary at the end of their day: what got done, what is blocked, what needs a decision. Ten minutes, and it removes most of the friction people attribute to timezone.

Almost nothing fails in week one. The failures cluster at month three, and by then the cause is months old.
