The problem, specifically
An agent’s income comes from listing appointments and closings. Almost nothing else on their calendar produces revenue directly — prospecting calls, CRM updates, listing paperwork, transaction coordination, follow-up sequences, client updates.
All of it is necessary. None of it needs a licensed professional, and all of it expands to fill whatever time is available. That is the arbitrage.

Acquisitions and dispositions support for investors
Everything above assumes you are an agent or broker. If you are an investor running acquisitions and dispositions — finding motivated sellers, then moving contracts to your cash-buyer list — the work is different enough to name separately.
On acquisitions, a dedicated caller works your seller leads — pre-foreclosure, tax-delinquent, absentee-owner, probate, or whatever list you are running — qualifies motivation, and gets you a live transfer or a booked call. On dispositions, the same team can manage your buyers list: sending new contracts out, following up, and tracking which buyers actually close versus which ones just ask questions.
We work inside the systems investors already run this in rather than asking you to move your pipeline into something new, and we execute skip tracing, list pulls and outbound calling or texting inside whatever compliance rules you already run — we do not set that policy for you.
One honest caveat: this is not a licensed real estate transaction, and whether a given deal structure — wholesaling, assignment of contract, double close — is permitted, and what it requires you to disclose, depends on state law and changes often enough that it is a question for your real estate attorney, not for us. What we take on is the calling, list and follow-up volume around it.

Where teams usually start
Most begin with one role and add. The two most common entry points:
Prospecting first — if the pipeline is the constraint, start with a cold caller or appointment setter. The return is measurable within weeks because appointments booked is a number you already track.
Coordination first — if the pipeline is fine but closings are chaotic, start with a transaction coordinator. Less immediately measurable, but it is usually the change agents say they should have made sooner.
Working across timezones
Prospecting has to happen when people answer the phone, and that window is not negotiable. Our teams work Eastern, Central, Mountain, Pacific, UK or Australian hours — you set the shift when you brief the role.
What it costs
Real estate support roles are hired on a straight hourly rate, part-time or full-time. Recruitment, onboarding, equipment, quality assurance and cover for absences are included.
How to choose a real estate support provider
Every provider in this market describes the same list of tasks. These are the four things that actually separate them.
- Ask who covers the desk when your assistant is ill. Real estate runs on deadlines that do not move — an inspection contingency does not care that somebody has a fever. A provider with no named backup is selling you one person rather than a service, and you find out which in the first month.
- Ask what happens on day 31 if it is not working. Notice period, replacement window, and whether you pay twice during a handover. Get it in writing before you start, not at the point you need it.
- For any calling role, ask to hear a call that went badly. A showreel of good calls tells you nothing. How someone handles the second objection — the one after the polite brush-off — is the entire job.
- Send them your actual compliance checklist and ask what they would need from you to run it. Every brokerage has one and they differ enough that “we do transaction coordination” is not an answer.
One question worth asking, and what a good answer sounds like
“A seller calls and asks whether they should accept an offer that came in eight thousand under asking. What do you say?”
A good answer is some version of nothing — take the message, get you on the phone. A candidate who starts advising on price has told you they do not understand the line between administration and licensed activity, and that is a problem that lands on your licence rather than theirs.
What an unlicensed assistant will not do
Rules differ by state, province and country, and your broker’s interpretation is the one that governs your file. Our assistants work the administrative side of that line: preparing and chasing paperwork, updating the CRM and the listing entries you authorise, coordinating inspections and deadlines, and handling scheduling and follow-up.
What they do not do is negotiate on your behalf, advise a client on price, terms or whether to accept an offer, or present themselves as a licensed agent on any call. If your brokerage draws that line somewhere else — tighter or looser — tell us at briefing and we will work to your line, in writing.
A provider who is vague about this is a provider who has not thought about whose licence is at risk.
Frequently asked questions
Can they work inside our MLS?
That depends on your MLS and your broker’s rules — some permit assistant logins under a supervising agent, some do not. Check with your board before you hire and we will work to whatever they say. Where direct access is not permitted, your assistant prepares everything and you paste it in. Slower, and compliant.
Who is responsible for Do Not Call compliance?
You are, and you should want it that way. Outbound calling is subject to do-not-call registries and calling-hour rules that vary by jurisdiction and by whether the number is a mobile. We work the list you approve, within the hours you set, and we will not call outside them. If you do not already have a scrubbing process, put one in place before you brief the role — and take proper advice on it rather than ours.
Can one person handle transaction coordination and prospecting?
Rarely well. Coordination is reactive and deadline-driven; prospecting needs uninterrupted blocks and dies the moment it gets interrupted. Put them on one desk and the calls stop happening the first week a file gets messy. Start with whichever is costing you more, and split the roles when the volume justifies a second person.
What happens during Philippine holidays and annual leave?
You get the coverage plan before you start, not after. Philippine public holidays do not line up with US, UK or Australian ones, so we agree in advance which dates matter to your business and how they are covered. We wrote up how to plan around them in more detail.
How quickly can someone start?
We aim to put three matched candidates in front of you within 72 hours of a clear brief. The honest constraint is on your side: an assistant who has access to nothing on day one is an assistant doing nothing for a week. Sort logins, systems access and a first-week task list before they start and you get value in days rather than a fortnight.
Do you help with wholesaling — acquisitions and dispositions?
Yes, on the calling and list-management side: seller outreach for acquisitions and buyer follow-up for dispositions, inside the CRM you already use. We do not give legal advice on contract structure or state-by-state assignment rules — that stays with your attorney.
