Virtual Assistants for Canadian Businesses

Canadian businesses face the same timezone arithmetic as US ones and a different regulatory picture. Both are worth being specific about.

Timezone

The Philippines is twelve to sixteen hours ahead of Canada depending on your province. Covering your business day means a night shift for your assistant — normal in Philippine outsourcing, sustainable when properly staffed and paid, and a retention problem when it is not.

For Vancouver and the west, the overlap is slightly kinder: early Pacific morning meets late Philippine afternoon, giving a natural handover window without anyone working through the small hours.

Three options: full Canadian-hours coverage, partial overlap, or an opposite shift where work arrives finished. Most Canadian clients over-specify — ask whether the role genuinely needs live availability or just a daily handover.

PIPEDA and provincial privacy law

Under PIPEDA you remain accountable for personal information you transfer to a third party for processing, wherever that processing happens. The obligation is to use contractual and other means to provide a comparable level of protection.

That is what our controls exist to support: NDA before access, individually named logins, access logging, minimum-necessary permissions, office-based work with controlled screens, and a written processing agreement we will sign.

Quebec’s Law 25 places additional requirements on transfers outside the province, including a privacy impact assessment. That assessment is yours to conduct — we will provide whatever information it needs.

Bookkeeping, Canadian specifics

GST, HST and provincial sales tax variation, plus CRA filing rhythms, are specific knowledge that generic bookkeeping experience does not include. We recruit against it rather than assume it — see Xero bookkeepers and support for accounting firms.

Frequently asked questions

Do we have any employment obligations?

No. We are the employer in the Philippines. No T4, no CPP or EI, no provincial employment standards exposure. You receive an invoice for services.

Can they support French-speaking clients?

Rarely, and we would rather say so than promise it. French-language support is genuinely scarce in the Philippine market — for bilingual French requirements, Latin America or a local hire will serve you better.

How do we pay?

Monthly against hours worked. Most Canadian clients invoice in US dollars; Canadian dollars can be arranged.

What about Canadian statutory holidays?

We work your calendar, including provincial variation. Tell us which days you observe.

Is data stored in Canada?

Your data stays in your systems, wherever you host them. Your assistant accesses those systems with a named login rather than holding copies.
